In today’s world, there is absolutely no need to sign a long term contract with anyone.  Doing so will place you at a disadvantage!  You will not have any leverage and cannot get out even if you are unhappy.  At DANA, we only do month to month business agreements.  This means we have to work hard to retain your business while giving you freedom and flexibility.

If your accounts receivables are consistently increasing, ask them to provide you with a copy of the call notes from the insurance follow up.  Figure out when your contract ends. If the penalties are severe, you may have to wait until the end of your contract before you switch.

If you are using our telephone dictation system, you may skip this section and proceed to the next section. If you are using a Digital Voice Recorder (DVR), follow the instructions below: Click on “Upload Voice Files”. Connect the DVR to your computer using a USB port. Click on the “Browse” button and locate your voice file on the DVR. You may submit up to 10 voice files per upload. Once files are uploaded, they appear on the upload log.

Click on “Download Transcription” and a window will appear. Your newly transcribed files will have a yellow envelope indicating that the file is unread. Once a file is clicked, you’ll be able to open or download the transcription to your hard drive.

You have several options to download multiple files in one easy step: Click on “Select All Files Not Downloaded” (a button on the left of the screen), or click on “Select All Files” (selects all files on the current page) Select the files you want to download by clicking on the box to the right and then click on Zip Download. Choose the appropriate path where you would like the files to download. They will be downloaded in zip format.

The filter string option allows you to quickly retrieve transcriptions by setting a date range and typing a file name. For example, If you have multiple physicians in your clinic and want to retrieve the files of one particular doctor, you can use their 3-letter code to filter those files. In addition, you can search using a patient’s first or last name.

Click on “View Bills” to see your latest billing statement and billing history. Items in green are invoices of payments that have been received by DANA, while items in red are invoices that are due. By default, billing summary statement is provided; itemized bills are also available. If you would like to view an itemized bill, check the box labeled “Itemized Bill” before viewing your invoice. If you have a bill pending payment, you will see a notice at the bottom of your screen upon log in.

DANA uses certain symbols to simplify the process of making corrections.

9 – The number 9 at the beginning of a file name indicates that there is a blank. When this file is downloaded, it will show up first in the folder on your hard drive.

BBB – The BBB symbol is used in a transcribed document when the transcriptionist is unable to understand the physician’s dictation. The bolded BBB is used for easy I.D.

SL (word) – This notation stands for ‘sounds like’ and is used when we the transcriptionist is not certain of the word being used.

Since every practice is unique, we will work with the client to make the smoothest possible transition without disrupting your workflow.   We typically start with a single service for most of our customers and then transition to using the entire portfolio over a 2 month period.   Some of our clients like to start with our Insurance and Patient collection services as they don’t have the labor required to follow up on numerous outstanding claims.

There are 3 aspects to the revenue cycle management. Thanks to VOIP technology, this is really not an issue today.  We are seamlessly able to receive calls on behalf of clinics and transfer calls to the appropriate extension in your office.  There are no additional costs associated with this.

After hours, we work as an answering service.  We will take down messages left by patients and send them securely to the office daily.  We will also page the on call doctor as necessary.

On average, medical offices spend about 6% – 8% of their total revenue collected on their billing department. This is true whether the office has outsourced its billing to a company or doing it in-house.
GoSoft typically charges customers about 3% – 3.5% of their total revenue collected. We charge based on man power used and NOT based on a percentage collected. A practice portal is usually provided by your EMR company.  If you are looking to build your own and integrate it with your EMR, we can provide this services.  However, your EMR provider must provide access to the API for us to be able do the integration.  If you already have a portal and would like to integrate it with your new website, GoSoft can provide this solution.
